Check these details before submitting a notarial request

Time is often lost locating a missing page, clarifying a name or discovering that the requested document differs from the one prepared. Careful preparation cannot guarantee a completion date, but it makes your file easier to review. Start with the result you need, then check the people, supporting documents and final version instead of collecting paperwork without a clear purpose.

A broad request without a purpose or recipient

I need something notarised does not identify whether you need a power of attorney, declaration, agreement or a procedure concerning an existing document. Explain what you will do with the result and who requested it. Keep any recipient email, form or checklist with your file because it may contain a detail that the service name does not reveal.

Do not rely entirely on a friend’s apparently similar transaction. The recipient, signing capacity or issuing country may differ. Provide your own facts, and say clearly if the intended recipient or final purpose has not yet been confirmed.

Names that do not match across the file

An English spelling may differ between a passport and a draft, or part of a name may disappear during copying. Create a reference list using the identifying documents relevant to the request. Check the company’s full registered name and legal form as well; an informal trading name may not identify the intended party accurately.

If two official documents contain different information, explain the discrepancy. Do not alter a scanned document to conceal it. The issue may require clarification, linking evidence or correction by the issuer. Identifying it early is more useful than trying to resolve it at signing.

An unexplained signing capacity

The person interested in a transaction is not always the person authorised to sign its documents. A signatory may act personally, under a power of attorney or for a company. A trade licence alone may not answer the specific question about signing authority. Equally, an existing power of attorney should not be assumed to cover a new act simply because it concerns the same person or company. Missing pages and unclear copies

An annex or final page can contain restrictions, signatures or reference details needed to understand the document. Supply the complete document through the agreed channel, preserve page order and include reverse sides where they contain information. Check that small numbers and endorsements remain legible before sending.

For an electronic document, retain the original file rather than replacing it with separate screenshots. Label earlier versions and drafts clearly. Avoid combining extracts from different documents into a file that could be mistaken for one complete original.

Leaving language and attestation checks until last

Mention foreign-issued or foreign-language documents at the start. Confirm the recipient’s expectations about language, original or copy format, and any prior authentication. Do not purchase an additional translation or attestation until its place in the route is clear, and do not assume an existing stamp completes every requirement.

Compare names, dates and amounts between an original and its translation, keeping their annexes and endorsements together. Do not treat silence as approval by someone who has not read the wording, or send a document for signing while essential figures remain unsettled.

Perform one short final check before the appointment. The aim is to confirm that the agreed information reached the actual version being used.
