Documents to Prepare

Start by organising the information that explains your transaction, then prepare the documents confirmed by the team. The final list depends on the instrument, the parties and the receiving organisation. This guide helps preparation without prescribing one mandatory list for every case.

Purpose and receiving authority first

Write one sentence explaining the outcome, who will use the document and before which organisation. Keep any instructions or required wording from that organisation. Mention earlier transactions or documents to be amended or cancelled.

Illustrative example: “I need a power of attorney” explains less than “I need to authorise a person for a specified act before a named organisation”. The aim is a clear purpose, not sensitive detail in the initial contact form.

Parties and capacity

Prepare the parties’ names as shown in official documents and clarify who acts personally and who represents a company or another person. If authority relies on an earlier document, mention its type and date so the team can identify what needs review.

Do not send identity numbers or copies without being asked. Possessing a document does not mean it establishes the necessary capacity for every transaction.

Companies, powers and declarations

For companies, describe the legal form, proposed change and related earlier documents. For a power of attorney, define the acts and receiving organisation. For a declaration, identify the fact or obligation and whether it relates to a contract, payment evidence or another record.

For notices, organise the relevant events, supporting documents and available addresses, and mention disputes or deadlines. Do not alter an original document to fit a description; explain discrepancies for review.

Copy quality and language

When asked to supply a file, make sure it is clear and complete, including relevant pages, stamps and annexes. Check names, dates and numbers before providing it. Mention foreign-language documents rather than assuming any informal translation will satisfy the requirements.

Before the appointment

Confirm the final list, who needs to attend or undergo verification, and any originals required. If something cannot be supplied, tell the team before the appointment. Good preparation can reduce repeated review, but does not guarantee acceptance or a fixed completion time.
