How the Notary Process Works

A transaction begins with its purpose, followed by the appropriate documents and steps. This guide explains what to expect when contacting the office and what must be reviewed before fees and the procedure can be confirmed.

1. Describe the outcome

Explain what you need: authority for a particular act, a change between partners, a declaration or a notice. Say whether you act personally, for a company or for someone else, and where the document will be used.

Your name and number are enough to begin a contact request. If you are unsure which service applies, let the team identify it after discussing the purpose. You do not need to upload identity documents at this point.

2. Review the requirements

The review may cover the parties, their capacity, supporting documents, earlier versions and requirements from the receiving organisation. The final list depends on the transaction; an online checklist does not replace requirements for your circumstances.

Mention early if someone is overseas, a company or earlier power of attorney is involved, translation may be needed, or you have an appointment with another authority.

3. Understand scope and cost

Before proceeding, ask what the quotation includes and what requires a separate step or charge. Drafting, review, translation, notarisation and procedures with another authority may have different scopes. Ask which factors can affect timing.

If parties, powers or the receiving organisation change after review, inform the team. The document or quotation may need to be reviewed again.

4. Check the wording and required steps

Review names, details, powers, amounts and dates before approving the document. Ask for an explanation of anything you do not understand. Verification, attendance and signing arrangements depend on eligibility and jurisdiction; remote completion is not assumed for every transaction.

5. Confirm how the document will be used

After the relevant procedure, check what the receiving organisation requires. Registration, translation, attestation or submission to another body may be separate steps. Clarify the difference between completing the office’s service and achieving the final purpose with the receiving authority.
