Prepare the transaction, people and technology for a remote appointment

A video connection does not make every document eligible for remote notarisation. Start with the transaction, the parties’ identities and capacities, their locations and the relevant authority’s requirements. Once the route is confirmed, preparing the final draft, device and connection becomes useful. This checklist helps you organise that preparation without assuming universal eligibility or immediate completion.

Confirm the route before choosing a time

Dubai has an official framework for digital processes in notarial services. Its existence does not determine the eligibility or verification method for an individual request. Explain the document’s purpose, each person’s role, where they will be during the procedure and which organisation will receive the result.

Mention overseas participation from the first enquiry. Do the same where someone represents a company or another person, or relies on authority documents issued abroad. The appointment should not be the first opportunity to discover these details; they need review before technical arrangements are treated as settled.

Identify the participants and their capacities

Make a short list of expected participants and the capacity in which each will sign. Distinguish the principal, representative, corporate signatory and person helping with administration. The person emailing the paperwork is not necessarily the person who must participate in identification or signing.

Provide supporting authority documents through the agreed method and ask how any language assistance must be arranged. Do not assume that a relative may answer on the signatory’s behalf, or that gathering everyone in one room replaces the required verification of each participant.

Finish reviewing the wording beforehand

Read the proposed version carefully and check names, numbers, transaction details and powers. Send questions about meaning or scope before the appointment. If different versions appear in your messages, ask which is the agreed version rather than guessing from an attachment name.

A significant change during the appointment may require further review. Collect the parties’ comments in one clear list instead of sending conflicting edits through several channels. When a revised version arrives, confirm that your comments have been addressed and that previously correct information remains accurate.

Prepare the connection and verification method

Once the approved channel is confirmed, test the camera, microphone and connection using the device and location you intend to use. Choose a quiet, adequately lit place, keep power available and allow time without interruptions. These are practical preparations, not a claim that every route has identical technical or legal conditions.

  • Check who sent the appointment link before opening it.
  • Confirm the required access or verification method without sharing passwords.
  • Keep requested documents available in a format you can display when asked.
  • Mention any difficulty with language, hearing or operating the device beforehand.
  • Agree how to reconnect if the call fails; do not assume the procedure continues automatically.

Allow for a different route if needed

Document review, a participant’s capacity or an unavailable verification method may require further preparation or physical attendance. Discuss this possibility when arranging the appointment, especially where travel or another organisation’s deadline is involved. Sending an online request is not a sufficient basis for irreversible scheduling commitments.

If the procedure cannot be completed, ask what has been done, what remains and what you need to provide. Missing evidence, a connection problem and a substantive review issue require different responses. Identifying the reason is more productive than repeatedly submitting the same material.

Check the result and the next stage

Confirm the request’s status through the agreed channel and examine the complete resulting file. Check that it relates to your transaction and includes the relevant details, pages and annexes. Retain the original electronic file; a screenshot may not serve the same purpose.

Ask how to present the document to its recipient and whether a separate step remains after notarisation. A successful call or a notification alone does not establish completion of the entire transaction. Keep the request reference and any document-verification method supplied through the selected route.
